VACANCY: IT Assistant to the Head of Operations

We are seeking a proactive, organised, and tech-savvy IT Assistant to the Head of Operations to support the administration and coordination of technology-related matters across the firm.

Reporting directly to the Head of Operations, the successful candidate will assist with the day-to-day administration and coordination of IT-related activities, technology projects, compliance requirements, user support processes, training initiatives, and engagements with the firm's external IT service provider. This role offers exposure to a broad range of technology systems, business applications, and operational initiatives and is ideal for an individual looking to further develop their career within an IT-focused environment.

The ideal candidate will be detail-oriented, solution-driven, and eager to learn, with a strong interest in technology and digital workplace tools. This position is best suited to a technology generalist with a sound understanding of business technology environments, Microsoft 365, and user support processes, rather than a specialist server, network, or infrastructure administrator.

Responsibilities

  • Provide day-to-day administrative and IT-related support to the Head of Operations.
  • Coordinate and follow up on IT-related queries and requests with the firm's external IT service provider.
  • Assist with employee onboarding and offboarding from an IT administration perspective.
  • Maintain IT-related records, reports, registers, and documentation.
  • Track and monitor technology projects, action items, deadlines, and outstanding requests.
  • Assist with technology-related compliance requirements and the maintenance of supporting documentation.
  • Coordinate technology-related training and awareness initiatives.
  • Ensure accurate record-keeping and the confidential handling of information.
  • Provide and coordinate employee training and awareness initiatives relating to IT policies, procedures, compliance requirements, and technology best practices.

Requirements

  • Relevant qualification in Information Technology, Information Systems, Business Administration, or a related field.
  • Minimum 2 years' experience in an administrative, coordinator, IT administrator, personal assistant, or similar support role.
  • Strong working knowledge of Microsoft 365, including Outlook, Word, Excel, Teams, SharePoint, OneDrive, and related applications.
  • Broad understanding of technology systems, business applications, digital workplace tools, and technology-related business processes.
  • Tech-savvy with a genuine interest in technology and the ability to quickly learn and adapt to new systems and applications.

The successful candidate will possess strong administrative, organisational, and communication skills, with excellent attention to detail and the ability to manage multiple priorities effectively. Experience working with external IT service providers, compliance documentation, training coordination, or technology support functions will be advantageous. A professional approach, strong interpersonal skills, and the ability to maintain confidentiality and exercise discretion are essential.
